Key responsibilities – fuel farm and shift operations

As Duty Manager – Fuel Farm, you will:

  • Manage shift operations for the fuel farm, covering daily receipt, storage, quality control, and distribution of Jet‑A1 fuel in line with aviation and industry standards.

  • Ensure all periodic quality control checks are carried out on static tanks and mobile refuelling equipment, with accurate records maintained for audits and compliance.

  • Allocate jobs efficiently to Operations Officers, ensuring flights are assigned on time and that refuelling activities are delay‑free and aligned with airline schedules.

  • Circulate important circulars, SOP updates, and regulatory amendments to operational teams and verify that new instructions are implemented on the ground.

  • Maintain availability and replenishment of documents, checklists, and records at the shift office to meet internal and external audit requirements.

Fuel inventory management and stock monitoring

  • Monitor daily Jet‑A1 stock levels and consumption to ensure continuous fuel availability at the fuel farm.

  • Coordinate with the Lead – Fuel Farm and Oil Marketing Companies (OMCs) for timely replenishment, transport planning, and documentation of fuel movements.

  • Maintain up‑to‑date stock registers, system entries, and reconciliation reports for fuel receipts, issues, and closing balances.

Stakeholder coordination

  • Liaise with:

    • Lead – Fuel Farm, into‑plane service teams, and flight operations to support seamless refuelling and turnaround.

    • Airlines, airport authorities, and airport operations control to manage priorities, disruptions, and special requests.

  • Coordinate with internal and external agencies for audits, inspections, and compliance checks, ensuring all observations are closed on time.

  • Maintain open communication channels to resolve operational issues quickly and uphold service quality and on‑time performance.

Safety, HSSE compliance, and regulatory standards

  • Enforce HSSE (Health, Safety, Security, Environment) protocols in all fuel farm activities, including safe work practices, PPE usage, and permit‑to‑work procedures.

  • Ensure operations comply with JIG, DGCA, PESO, IATA, and ICAO standards as applicable to aviation fuel facilities.

  • Respond to emergencies, supervise incident management, conduct incident and near‑miss investigations, and implement corrective and preventive measures.

  • Monitor license and certification renewals, pollution control measures, and statutory documentation for fuel farm infrastructure and operations.

Equipment and asset integrity management

  • Oversee implementation of the Asset Integrity Management System (AIMS) to maintain reliability of tanks, pipelines, pumps, filters, hydrant systems, and refuelling vehicles.

  • Track preventive and corrective maintenance schedules for static and mobile assets to minimise breakdown‑related disruptions.

  • Promote continuous improvement in maintenance practices, coordinating closely with engineering and maintenance teams.

Reporting, documentation, and performance tracking

  • Maintain detailed shift reports covering fuel transactions, QC results, safety observations, incidents, and equipment status.

  • Ensure accurate data entry for audits, regulatory submissions, and internal reviews.

  • Provide inputs for daily and monthly operational summaries to the Lead – Fuel Farm, including KPIs such as on‑time performance, stock variance, and incident statistics.

Staff supervision, coaching, and training

  • Supervise and mentor shift personnel at the fuel farm, ensuring adequate staffing levels for 24×7 operations.

  • Identify training needs and ensure staff are regularly trained on operating procedures, safety rules, JIG standards, and emergency response.

  • Foster a culture of safety, accountability, and customer focus within the fuel farm operations team.

Eligibility – education and experience

Education qualification

  • Diploma in Engineering / Bachelor’s degree / Post Graduate Diploma in:

    • Mechanical Engineering

    • Electrical Engineering

    • Aviation Management

    • Or a closely related field

Work experience

  • 4–6 years of experience in aviation fuel operations, preferably at a Jet Fuel Facility or airport fuel farm.

  • Experience in shift management, HSSE compliance, and Jet‑A1 fuel handling will be a strong advantage.

  • A valid LMV driving licence is desirable for airside and fuel farm vehicle operations (subject to local rules).
